Working Together

What will actually be different about having you manage my home?

Working with us will feel like a partnership. We care deeply about Cape Charles, and understand what it feels like for a home to become just another listing. Our operating model, our standards, and our vision for 629 were built around creating something different. We will take the performance and care of your home personally, listen closely to guest feedback, and continuously look for way to create an experience-and a home-you can be proud of.

I’m already working with a property manager. Can we still talk?

Absolutely. Having a conversation isn’t a breach of contract. If, after speaking with us, you feel our approach and management style may be a better fit, we’re happy to help you understand the terms of your current agreement and navigate your options.

I currently manage my own rental home. What would the benefit be?

We understand how much time, energy, and personal investment goes into managing a short-term rental well. If your home is taking more of your time than you’d like, you’re managing it from a distance, or you’re simply ready to hand off the day-to-day responsibility, we’re here to help. Our goal is to give you back your time without asking you to give up your connection to your home.

Can you help me prepare a newly purchased Cape Charles home for the rental market?

Yes. We would be happy to help you navigate the STR requirements and prepare your home for the rental market. We can help identify what is needed before launch, coordinate the setup process, and make sure the home is ready to welcome guests. If your home needs additional attention to presentation or staging, we can help with that as well and provide a separate proposal based on what the home needs.

What happens if either of us decides the partnership isn’t working?

We are very intentional about the relationships that we build, but we also recognize that our approach may not be the right fit for everyone. We hold ourselves to high standards, and we will expect the homes we manage to be maintained and invested in at a level that allows us to deliver the experience we have promised to our homeowners and guests. We see this as a two-way partnership, and our management agreement will provide a reasonable path for either of us to step away if the relationship is no longer the right fit.

Managing Your Home

How often will someone come physically check my property?

We are committed to performing quarterly property inspections, along with a more comprehensive annual preventative maintenance inspection. Our goal is to stay familiar with the condition of your home and identify concerns before they become larger issues.

How will you approach preventative maintenance?

We believe good property management should be proactive, not simply reactive. We will maintain a record of your home’s major assets and develop a preventative maintenance plan designed around the property to support their performance and longevity and identify concerns before they become larger, more costly problems. You’ll receive routine reporting on work performed, issues identified, and recommendations we believe are worth considering—giving you greater visibility into the care and condition of your home.

Will you contact me before authorizing a repair?

Yes. At the beginning of our partnership, we will agree on a repair threshold that gives us the ability to handle routine needs efficiently while keeping you involved in larger expenses. Anything above that agreed-upon amount will require your approval, except when immediate action is necessary to protect your home, address a safety concern, or respond to an emergency.

Who handles guest problems and emergencies after hours?

We do. Guest issues and after-hours emergencies are part of managing your home, and we will coordinate the response when something needs attention. If maintenance or a repair is required, we will work within the authorization threshold we’ve established with you, unless immediate action is necessary to protect the guest or your home.

Do you mark up maintenance or vendor issues?

Yes. A management fee is applied to maintenance and vendor services that we coordinate on your behalf. That fee covers the work involved in managing the repair from start to finish—including vendor coordination, scheduling and access, communication, documentation, invoice management, and follow-up. Our responsibility isn’t simply to connect you with a vendor; it’s to make sure the work gets handled appropriately and with as little involvement required from you as possible. Any applicable management fee will be clearly outlined in your management agreement so you understand the cost before choosing to work with us.

Will 629 help me navigate Cape Charles STR licensing, inspections and required reporting?

Yes. We know firsthand that staying on top of Cape Charles STR requirements can be cumbersome, and we don’t believe our homeowners should have to manage that process themselves. We will manage the annual STR certification process, coordinate required inspections, maintain compliance deadlines, manage required reporting, and serve as your local point of contact with the Town when appropriate. If something requires your attention or investment, we’ll bring it to you and help coordinate the next steps.

What happens if my home doesn’t pass its annual STR inspection?

We’ll help manage it. If an inspection identifies something that needs to be corrected, we’ll communicate the issue to you, help determine what is required, coordinate the appropriate vendor when needed, and work through the reinspection process. Our goal is to stay ahead of these issues throughout the year so the annual inspection doesn’t become a fire drill.

Who handles transient occupancy tax (TOT) reporting?

We do. 629 will manage the required transient occupancy tax reporting associated with your rental on your behalf. We will track reporting deadlines, maintain the necessary rental records, and handle the recurring filings included within our management responsibilities so this isn’t another administrative task sitting on your plate.

Performance & Financials

How do you approach rental pricing?

629 will utilize a direct booking site along with a dynamic pricing platform designed to respond to changes in demand, seasonality, booking pace, and market conditions. But pricing won’t be left entirely to technology. We will monitor each home’s performance consistently and make adjustments when we see opportunities to improve results.

Do you prioritize occupancy or nightly rate?

Neither in isolation. A full calendar does not necessarily mean a home is performing well, and a high nightly rate does not matter if the home isn’t booking. Our goal is to find the right balance between rate and occupancy to produce strong overall performance while protecting the positioning and value of your home.

What does your management fee include?

Our management fee includes the day-to-day management and marketing of your home, guest management, owner portal access, routine property inspections, preventative maintenance inspections, and monthly owner reporting. It also includes the ongoing oversight and coordination required to manage your home, your guests, and the vendors supporting it.

Are there any other fees outside of your management fee?

Yes. There are initial setup costs associated with onboarding and preparing your property for launch. These may include professional photography, smart-home access installation, a comprehensive home inspection and evaluation, platform setup, and initial supply inventory. We will provide a detailed breakdown of these costs before onboarding so you know exactly what to expect. Outside of our management fee, homeowners remain responsible for property-specific operating expenses such as maintenance, repairs, supplies, utilities, and other costs associated with the home.

Can you tell me what my home could earn?

Absolutely. That is part of the conversation we want to have with our owners. Every homeowner’s goals are different. Some want to maximize revenue, while others want to enjoy their home frequently and generate income when they aren’t using it. We will look at your home’s historical performance, the competitive market, and its potential, then work with you to establish realistic financial goals and a strategy designed around them.

How do you measure whether my home is performing well?

We will look at more than occupancy alone. We will monitor average daily rate, occupancy, booking pace, seasonality, comparable properties, guest feedback, and overall revenue performance. Most importantly, we will measure those results against the goals we establish with you for your home.

Getting to Know 629

Who will actually be responsible for my home?

Our approach is to remain as closely connected to our homes and homeowners as possible. That means being directly involved in the day-to-day operations, not simply relying on vendors to tell us what is happening. We believe strongly in vendor management, accountability and holding every partner who enters your home to the same high standards we set for ourselves.

629 is a new company. Why should I trust you with my home?

629 Coastal Collective is a new company, but the experience behind it is not. We bring decades of leadership, operational excellence, real estate experience, and home-design expertise to what we are building. You may not know us yet, but you will quickly learn that we are experienced professionals with an incredibly particular eye, very high standards, and a genuine sense of responsibility for the homes entrusted to us.

How many homes will 629 manage?

We will only manage the number of homes we are confident we can manage to our standards. We have no interest in growling simply for the sake of getting bigger. As we grow, we will build the team and infrastructure necessary to maintain the same level of attention, accountability, and care our homeowners expect from us.

Why are you intentionally limiting the number of homes you manage?

Because we want to know our homes and our homeowners well. The level of involvement we believe good management requires simply isn’t possible if growth becomes the priority. We would rather manage fewer homes exceptionally well than take on every property that comes our way. That also means making sure there is a good on both sides before we enter into a management relationship.

What happens as 629 grows?

As 629 grows, we will grow thoughtfully. We will build the team, systems, and local partnerships needed to support that growth without compromising the standards we started with. We have no interest in becoming a high-volume management company while homeowners or their homes become just another number. Growth will never come at the expense of the level of attention and accountability we expect from ourselves.

Will I still have direct access to Jim and Kadie?

Yes, direct access to us is an important part of the company we are building. As 629 grows, we will absolutely build a strong team around us, but we do not intend to remove ourselves from our homeowners or the homes we manage. We was to know our owners, know their homes, and remain personally accountable for the level of service 629 provides.
